Changing Employee Details

Adding a New Employee to Cbus

You should ask whether your new employee is already in Cbus. If so, they will have a Cbus card and membership number.

If they are NOT already in Cbus:

  • If you are already a participating employer, you can request a Membership Application form and Product Disclosure Statement (handbook) for your new employee/s to join Cbus. You must have a Cbus Employer Number to lodge a Membership Application form, and Applications must be signed and dated by the employee before their membership can be accepted by the Trustee, and insurance cover provided. You should add their details, including member number, full name, address and date of birth in the appropriate columns on the Contribution Return Form, which should have the new membership application form attached, together with your payment.

If your employee HAS a Cbus membership number:

  • Simply add your new employee's details to your Employer Contribution Return form, and be sure to include their Cbus membership number to ensure that your payment will be allocated to their account. You should also include their date of birth on the Contribution Return Form.

*WARNING: If the membership number starts with the number '9', that member is considered 'deemed'. This means there is a problem with that membership and the member may not be covered by insurance. If you come across a membership number beginning with '9' please contact Cbus on 1300 361 784 urgently.

Deleting Employees

If any of the members listed on the Contribution Return form did not work for you during the payment month, please cross out their details. If a member is receiving their last payment, please advise the date of their termination.

Change Employee Details

There is a special column on your Contribution Return form headed "for use by employers". This is where you should complete any member's details that are incomplete, or correct any details that are incorrect (eg new address, date of birth).

Weeks Worked

Please ensure that the number of weeks is correct. If an employee only worked for several weeks, please amend the "number of weeks (WKS)" column to ensure their account is not debited with fees and charges for weeks they were not employed.

Unregistered Members

If you notice the number '9' at the beginning of a Cbus Membership Number on your Contribution Advice form it means that we do not have a properly completed application form from your employee. Consequently they may be uninsured, or their payment might not be allocated to their existing account (if they have one).

Opting Out

The Superannuation Guarantee does not have to be paid for some limited categories of employees unless an award or enterprise agreement provides otherwise. These include:

  • employees paid less than $450 in a calendar month;
  • employees aged 70 and over;
  • employees under 18 years of age working 30 hours or less, per week.

Tax File Numbers (TFNs)

Legislation requires superannuation funds to collect their members' Tax File Numbers. Legislation also stipulates that if an employee provides you with their Tax File Number for superannuation purposes, you must forward it to their fund within 14 days.

  • The Cbus Membership Application requests members joining the fund to provide their Tax File Number. The Member Handbook supplied with the application form fully explains the reason why this is requested, and encourages members to provide their tax file number.
  • The Employment Declaration Form now includes an authorisation for employers to provide new employees' Tax File Numbers to their Superannuation fund. Tax File Numbers can be forwarded to Cbus on your contribution return or faxed to Cbus on 1300 361 794, together with the member's personal details and membership number.

Cbus maintains strict security on its members' Tax File Numbers and uses them only for legally authorised purposes.
